    The Special Events Manager must receive all beach wedding permit applications at least 14 business days prior to the requested wedding event date.  Applications submitted with fewer than 14 business days' may be considered, but are not guaranteed approval. Approval of the requested wedding event date is at the City Manager's discretion.  Dates may be unavailable if they conflict with a major special event (such as the Fourth of July) or if the City is under a tropical weather watch or warning.  

    Services are provided at no cost to Key West, Florida residents who provide proof of residency within the city limits. This exemption does not apply to Key West wedding planners.

    Provide a valid government-issued photo ID and one of the following documents to verify residency within the City of Key West city limits. P.O. boxes for addresses are not accepted.

    • Warranty Deed
    • Voter Registration Card
    • Residential Lease Agreement
    • Real Estate Tax Bill

  5. An exact time is required when applying for the permit.

    Each permit issued is for a maximum timeframe of four (4) hours.  This timeframe shall include all deliveries, setup, and clean-up.  

    Please look up sunset time for your date if you are planning for s sunset wedding.

  6. The info provided should be for the same point person/business planning the wedding. This person/business will be receiving the invoice for the permit cost. "TBD" or "Unknown" will not be accepted.

    Taxes and surcharges are not included in the flat fee.

    Check payments can be made at City Hall, 1300 White Street, Receptionist Desk, Monday - Friday, 8 AM-5 PM.

  14. Cancellation Policy

    Please submit all cancellation/refund requests in writing to event_request@cityofkeywest-fl.gov.

    Refunds will be processed using the original method of payment.

    • 30 days or less prior to the scheduled permit date = no refund
    • 31-90 days prior to the scheduled permit date = 50% refund of the total permit will be issued.
    • 91 days or more to the scheduled permit date = 100% refund.
  15. Please limit the file size to 8 MB. Upload the file only once when submitting multiple location permit applications for the same project. 

    The insured carrier must maintain an A.M. Best Insurance rating of no less than B+, and be of a financial size category of V or higher.

    Requirements:

    • Upload proof of residency (if applicable).

    • Upload a Certificate of Insurance for General Liability coverage with a minimum of $1,000,000 per occurrence.  The certificate must:

      • List the City of Key West as both Certificate Holder and Additional Insured.

      • Applicant must hold the City harmless from any liability for damages arising out of, or related to, your activities in the City of Key West.

      • Specify the event location as Smathers Beach.

    Note: Wedding planners who already have a Certificate of Insurance on file with the Special Events Manager may disregard this requirement.

    A permit will be issued upon completion of this application, the Certificate of Insurance requirements have been received in the City Manager's Office, and the Release and Indemnification form has been signed by an authorized representative and received in the City Manager's office.

  17. Please describe more than "wedding." Will chairs, tents, arches, lights, vestibule, or pergola be used at the site?  

    The following are not allowed on the City's beach per City Ordinance:

    • plastic flower petals
    • glass 
    • alcohol 
    • flames
    • balloons
    • pets
    • grills
  18. Turtle Nesting Season
  19. From March through October, sea turtles lay eggs on the beach areas in the City of Key West, and hatchlings emerge 5-60 days later. Hatchling's survival relies on keeping the beach clean and flat and dark between dusk and dawn when they head towards the water, looking for reflections on the water of stars and the moon. Any artificial lighting visible to the hatchlings will disorient them. No lights (tiki torches, string lights, lamps, etc.) are allowed on the beach after sunset during the turtle nesting season. Leaving the sand flat is the best practice during the season. Holes and mounds can cause nesting mothers or hatchlings to get stuck. I, (Applicant) DBA business as (Company name) the legal entity or association on whose behalf this application is made, do hereby release the City of Key West, its officers, agents and employees from any and all liability for damages arising out of, or related to the activities for which application for leave to use the City property has been submitted; and do hereby further agree, on behalf of said entity or association, to compensate, indemnify, and hold harmless the City of Key West, its officers, agents, and employees from and against any and all damages to personnel or property of the city, and against all claims for damages or injuries to other persons cost, including attorneys' fees at both trial and appellate levels, arising from the actions or omissions of the person(s) or legal entity (entities) on whose behalf the application is submitted, including, but not limited to, the sale and dispensing of alcoholic beverages, or otherwise arising from the actions of their members, licenses, customers, guests, invitee, or participants in the related activities permitted.
